10 Documents Required for Export From India- Easy Check-list

The export business may look exciting with opportunities to travel, explore new markets, and grow globally. However, behind the scenes, there is a lot of important work involved—especially documentation. Export documentation is a crucial part of the process and cannot be ignored. At every stage of exporting from India, you are required to submit the correct documents to move your shipment forward.

This process includes applying for, collecting, submitting, and presenting various documents whenever required. These documents are not optional—they are legally mandatory and must be accurate. Even small mistakes can cause delays, penalties, or rejection of shipments. Because of different rules and procedures, export documentation can feel confusing and time-consuming, especially for beginners.

Despite the challenges, proper documentation helps ensure smooth movement of goods, timely payments, and hassle-free customs clearance. This is even more important in international trade, where laws and regulations differ from one country to another. Having all the required documents ready also protects your export business from legal issues.

Whether you are new to exporting or already experienced, having a clear checklist of export documents will make the process much easier. It allows you to focus more on growing your business and less on paperwork stress.

Before starting, remember that export document requirements can change depending on the destination country and the type of product you are exporting. Some countries may require additional certificates or approvals. Always check these requirements in advance to avoid last-minute problems.

3 Core Documents Required for Export from India

When exporting goods from India, there are three essential documents that every exporter must have. These documents are mandatory for customs clearance and shipment movement.


1. Bill of Lading (BL)

The Bill of Lading is one of the most important export documents. It acts as a legal contract between the exporter (shipper) and the carrier (shipping company). This document confirms that the carrier has received the goods in good condition and agrees to transport them to the destination.

The Bill of Lading is issued after the shipping agent submits and verifies the Mate’s Receipt. Usually:

  • The main shipping line issues the Master Bill of Lading
  • The freight forwarder issues a House Bill of Lading

Without a valid Bill of Lading, the cargo cannot be shipped or claimed at the destination.


2. Commercial Invoice cum Packing List

The Commercial Invoice is a key document that is submitted to customs. It is prepared once the goods are ready for export and must be signed and approved by customs for the shipment to move forward.

If your shipment includes more than one product, a Packing List is also required. The packing list clearly mentions:

  • Product names
  • Quantity
  • Packaging details

Today, exporters can combine both documents into a single file known as the Commercial Invoice cum Packing List, as long as all packing details are clearly mentioned in the invoice. This helps reduce paperwork and makes the process easier.


3. Shipping Bill / Bill of Export

The Shipping Bill is another compulsory document for export from India. It is generated electronically through ICEGATE (Indian Customs Electronic Gateway).

This document is required for customs clearance and officially allows the exporter to ship goods outside India. Once customs approves the Shipping Bill, the shipment receives clearance to proceed for export.

The Shipping Bill is essential for:

  • Customs approval
  • Export incentives (if applicable)
  • Legal export clearance
